Utah State University's Registrar's Office is looking for a highly qualified, customer-service oriented person to fill the role of Staff Assistant. This individual will perform a variety of administrative support and/or secretarial duties for the Office of the Registrar. They will also act as a liaison for students submitting Academic Record Adjustment (ARA) petitions. 

  • Provide administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies
  • Work directly with students to ensure all required documentation is submitted as part of ARA requests
  • Serve as an ex-officio member of the ARA committee to provide insight and clarity during the review process
  • Perform office duties, including answering phones, directing calls to appropriate parties, data entry, filing, appointment scheduling, and other general duties as assigned
  • Work with Business Services to manage budget-related responsibilities
  • Greet and direct visitors
  • Become proficient in the USU's student information system – Banner
  • Compose various standard documents, correspondence, and reports
  • Maintain the accuracy and confidentiality of student records in compliance with the regulations of the Family Education Rights and Privacy Act (FERPA)
  • May provide non-business-related support for departmental programs and projects
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and directors
  • Work collaboratively with the Registrar's Office staff
  • Perform other job-related duties as needed

Minimum Qualifications

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree; or an equivalent combination of education and experience is required.
  • Previous customer service experience
  • Detail-oriented accuracy
  • Strong work ethic
  • Interpersonal communication skills and the ability to interact professionally with a diverse group of faculty, staff, students, and parents, through a variety of mediums
  • Ability to multi-task while working under pressure with minimal supervision

Preferred Qualifications

  • Experience using the Banner student information system as a student or employee
  • Excellent interpersonal communication skills with specific experience in conflict resolution
  • Advanced knowledge of Microsoft Office

Inside
Apply principles of logical or scientific thinking to define problems, collect data, establish facts, and draw valid conclusions. Interpret an extensive variety of technical instructions, in books, manuals, and mathematical or diagrammatic form. Deal with several abstract and concrete variables.
Make arithmetic calculations involving fractions, decimals and percentages.
Expression of a level to communicate fluently with clients/customers and others to obtain and provide complex information. Vocalize and explain detailed and problem-solve, both in-person and by telephone. Capable of interpretation of technical materials, oral presentation of reports and able to adapt vocabulary, tone and content for listener.
Comprehension and expression of a level to record fairly uncomplicated information frequently such as filling in report forms, logging entries and taking telephone messages.
Minimal travel required – ability to travel infrequently (i.e., annually) for activities such as developmental sessions at a centralized training center.
